So, what exactly does our roster clerk do?

Are you ready to play a key role in shaping the daily operations of our Customer Experience teams? We’re looking for someone with a keen eye for detail and a passion for precision to deliver high-quality rosters that keep our seven-day-a-week operation running smoothly. In this pivotal role, you’ll ensure every shift is planned with efficiency and accuracy, guided by robust rostering principles and company policies. Key Responsibilities

As part of the rostering team, you’ll play a vital role in ensuring the smooth and efficient allocation of resources across the depot. Your responsibilities will include:

  • Weekly and Daily Rostering: Creating and maintaining accurate rosters that align with operational needs and comply with the Working Time Directive.
  • Overtime Management: Ensuring all overtime is properly recorded and adheres to rostering principles.
  • Timesheet Compilation: Producing accurate timesheets via the rostering system and preparing them for payroll and agency authorisation.
  • Annual Leave Coordination: Managing leave allocations and maintaining up-to-date records.
  • Route and Skill Knowledge Tracking: Monitoring refresher requirements and ensuring staff maintain multi-skilled route knowledge, including diversionary routes.
  • Rest Day Work Equalisation: Allocating rest day work fairly and in line with local agreements, supported by accurate record-keeping.
  • Administrative Support: Performing general clerical tasks and assisting the line manager with administrative duties.
  • Team Collaboration: Working independently or as part of a team to meet deadlines, while maintaining effective two-way communication with colleagues and other departments.
  • Confidentiality and Accuracy: Ensuring all resource systems are kept accurate and confidential information is handled appropriately.

What you’ll need.

To succeed in this role, you’ll bring a mix of technical know-how, strong interpersonal skills, and a proactive mindset. Key skills include:

  • Stakeholder Engagement: Skilled in building and maintaining effective relationships with a wide range of stakeholders across the business, ensuring alignment and collaboration.

  • Rostering Expertise: Familiarity with rostering systems and a solid understanding of rostering principles and employment conditions for Customer Experience staff.
  • Resilience Under Pressure: Able to stay focused and effective in challenging situations while keeping business needs front and centre.
  • Influencing Skills: A confident relationship builder who can influence others using clear, rational communication.
  • Communication: Strong verbal and written communication skills to ensure clarity and consistency across teams.
  • Attention to Detail: A meticulous approach to work, ensuring accuracy in all aspects of rostering and record-keeping.
  • Organisation & Time Management: Highly organised with the ability to manage time effectively and prioritise tasks in a dynamic environment.
  • Flexibility: Willingness to adapt to the needs of the business, including occasional weekend work.

Disclosure and Barring Service (DBS) check 

At LNER, safety is our top priority. If your application is successful and you’re new to the business, we’ll carry out a basic DBS check as part of our pre-employment process. This is only takes place once a conditional job offer has been made.

The DBS check looks for any unspent convictions and conditional cautions under the Rehabilitation of Offenders Act (ROA) 1974. If there’s evidence of an unspent conviction or a conditional caution, the details of these will be reviewed internally by a cross functional panel on a case-by-case basis before a final offer of employment is confirmed. Please note that in some cases, this may result in an offer being withdrawn.

Medical screening 

We’re a safety conscious business, so when joining LNER in any role you’ll need to pass a medical screening and a drugs and alcohol test before we can confirm an unconditional job offer. For safety-critical roles, a safety-critical medical will also be required.

Our Talent Team will be on hand to guide you through the process and will send you a medical questionnaire by email. Once complete, this will go directly to our in-house Health and Wellbeing team who will contact you to arrange a convenient location, date and time for your medical appointment. We currently have clinics in Kings Cross, Doncaster, Newcastle and Edinburgh. The sooner we can do it, the better, so please try to be flexible with your availability. Once your medical is approved, we’ll finalise any last details and look forward to you joining the team!
